The Ephemera Collection of the Archives at Queens Library First Addition (16 boxes, 1830-2004) contains “minor transient documents of everyday life,” with a caveat that not all the material is necessarily minor or transient. The collection contains material from geographic Long Island’s clubs – charity, fraternal, political, and sports, its churches, artists, businesses, wrestling events, weddings, and more; in an array of formats including tickets, bulletins, posters, prints, cards, envelops, stamps, etc.

Historical/Biographical Note

The Archives at Queens Library’s collection of ephemera began in 1911 as a component of the brand new division’s collecting policy. The unofficial objective of this collection was to acquire the transient documents created by people and organizations around Long Island. It expanded greatly in the intervening years with major accretions in the 1950s, 1960s, and 1990s to include over 10,000 pieces from all over the island. This first addition consists of material that has been in the division for awhile but was not processed when the first one was. During the twentieth century little was done to organize and make available this material. Some of it was cataloged and an attempt was made to process the remainder.

In the spring of 2003, to facilitate the processing of ephemera and to provide the means of identifying it, the division’s staff members, Judith Box, Erik Huber, and John Hyslop created processing procedures and adopted a formal definition of ephemera. The division’s definition is derived from Maurice Rickards’ definition, “minor transient documents of everyday life” though he recognizes that material does not have to be minor nor transient. The division also acknowledges, no matter their creators’ intent for their existence, because they document Long Island they have now become major and permanent.

John Hyslop began processing all the uncatalogued ephemera in the division in the Spring of 2003. The original 27 boxes of this collection were finally completed in January 2004. This collection will continue to grow and periodically the inventory will be updated to reflect this growth.

Arrangement

The material is grouped in the following order:

Series, in alphabetical order by LC subject heading.
Sub series in alphabetical order by location. The county or borough name is always used for things occurring borough or county wide, or if they occur over more than one area, i.e., for an event in Jamaica and Hollis the location is Queens County.
Sub sub series in alphabetical order by entity if one exists.
Sub sub sub series in alphabetical order by sub entity, genre or physical form. This is only used if a sub sub series contains a lot of material. The division uses the Thesaurus for Graphic Materials II: Genre and Physical Characteristic Terms TGMII, http://www.loc.gov/rr/print/tgm2/ as its authority.

The material for this collection was either purchased or donated from a variety of sources.

Access Restrictions

Open for research without restrictions. Manuscripts are only available in the Archives at Queens Library, please call (718) 990-0770 for hours. Manuscript users will be required to complete the division's Manuscript Usage Form and show their photograph identification or Queens Borough Public Library card. The identification will be returned to the user after she/he has returned the material. Manuscript users will deposit all their personal items behind the reference desk. Manuscript users must use the division's loose sheets of paper for note taking. To reiterate, no pen of any type is permitted. Paper and a pencil are available upon request. Manuscript users may be required to use special handling procedures depending on the conditions of the material.
